Welcome to Pilates West Island. By booking a class, session, or service with us, whether online, in person, by phone, or by email, you agree to these Terms and Conditions. Please read them carefully. These terms form the agreement between you and the studio.

01 About Pilates West Island

Pilates West Island (referred to in these terms as "the studio," "we," "us," or "our") is a boutique reformer Pilates studio located at 78 Ave Donegani, 2nd Floor, Pointe-Claire, Quebec, H9R 2V4. We offer group reformer classes, private and semi-private sessions, Body Alignment Therapy, and related wellness services.

"You" and "your" refer to the person booking or participating in any service offered by the studio.

02 Bookings and Registration

Creating a booking

Bookings can be made through our online scheduling platform, by email, or in person. You are responsible for providing accurate, current, and complete information when you book, and for keeping your contact details up to date.

Age of participation

Group classes and services are intended for participants aged 16 and older. Participants under the age of 18 require written consent from a parent or legal guardian before their first session. Please contact us in advance if you are booking on behalf of a minor.

Booking confirmation

Your booking is confirmed once you receive a written confirmation from our scheduling platform. If you do not receive a confirmation within a reasonable time, please contact us before assuming your spot is held.

03 Payment Terms

Prices and taxes

All prices are listed in Canadian dollars and are subject to applicable GST and QST unless otherwise stated. Current pricing is published on our website and may be updated from time to time.

Payment methods

We accept major credit cards, and select electronic payment methods through our scheduling platform. Payment is due at the time of booking unless a payment plan or account arrangement has been agreed in writing.

Session packages

Packages of group classes or private sessions are valid for a defined period stated at the time of purchase. Unused sessions expire at the end of that period and are non-refundable except as provided in the Refunds section below or as otherwise required by law.

Non-transferability

Packages, memberships, and prepaid sessions are personal to you and cannot be shared, sold, or transferred to another person without written authorization from the studio.

Gift cards

Gift cards are non-refundable, cannot be redeemed for cash, and expire according to the terms printed on the card or specified at purchase, subject to applicable law.

04 Cancellation and No-Show Policy

Our small class sizes, capped at five participants, mean every reserved spot matters. Late cancellations and no-shows prevent other clients from booking, and they affect our instructors' schedules. We ask for your care with the following.

Group classes

Please cancel or reschedule at least 12 hours before your class. Cancellations made inside the 12-hour window will forfeit the session credit or class fee.

Private and semi-private sessions

Please cancel or reschedule at least 24 hours before your session. Cancellations made inside the 24-hour window will forfeit the session credit or session fee.

No-shows

Failure to attend a booked session without notice will result in the full loss of the session credit or session fee.

Studio-initiated cancellations

In the rare event that the studio must cancel a class or session, for weather, instructor illness, or other reasons outside our control, we will notify you as promptly as possible and offer a rescheduled session or a credit toward a future booking.

Repeated missed sessions

We reserve the right to restrict future bookings for clients with a pattern of no-shows or late cancellations.

05 Refunds

Payments for classes, sessions, and packages are generally non-refundable. Refund requests will be considered case by case for genuine hardship or documented medical circumstances, and may be offered as a studio credit rather than a cash refund.

Nothing in this section limits any right to cancel or receive a refund that you may have under the Quebec Consumer Protection Act or other applicable law.

06 Health Disclosure and Physical Readiness

Your responsibility

You are responsible for confirming that you are in adequate physical condition to safely participate in Pilates and related movement practices. If you have any injury, medical condition, recent surgery, pregnancy, or other health concern that could affect your participation, please consult a qualified health professional before you begin.

Disclosure to the studio

You agree to inform your instructor, before your first session and on an ongoing basis, of any injury, medical condition, medication, or physical limitation that may affect your ability to participate safely. This includes changes that occur over the course of your practice with us.

During sessions

Listen to your body. Communicate with your instructor if any movement causes pain, dizziness, or discomfort. You are always welcome to modify or step out of any exercise.

Not medical advice

Our instructors are trained movement educators. Unless otherwise specifically qualified and identified as such, we are not physicians, physiotherapists, or diagnostic clinicians. Nothing offered at the studio is intended as medical advice, diagnosis, or treatment.

07 Assumption of Risk and Participant Acknowledgment

Pilates involves physical activity using specialized equipment, and carries inherent risks including muscle strain, joint injury, and other injuries that can result from exercise. By participating, you acknowledge:

  • You understand the nature of the activities and their associated risks.
  • You are voluntarily choosing to participate.
  • You have disclosed any relevant health conditions to the studio.
  • You will follow your instructor's guidance and use equipment as directed.

To the fullest extent permitted by law, you agree that the studio, its owners, instructors, employees, and contractors are not liable for injuries or losses arising from your participation, except where such injury or loss results from the gross fault, intentional fault, or gross negligence of the studio or its personnel.

Nothing in these terms limits any right you may have under Quebec law, including provisions of the Civil Code of Quebec that prohibit the exclusion or limitation of liability for bodily or moral injury caused to a person.

08 Studio Policies and Conduct

Arrival

Please arrive 10 to 15 minutes before your first session, and at least 5 minutes before subsequent sessions. Late arrivals may not be permitted to join a class in progress, at the instructor's discretion, for the safety of all participants.

Attire

Wear comfortable, form-fitting clothing that allows your instructor to see your alignment. Grip socks are recommended.

Personal belongings

Cubbies and hooks are provided for your belongings. The studio is not responsible for lost, stolen, or damaged items. Please leave valuables at home when possible.

Phones and devices

Please silence phones before class and refrain from photography or recording without express permission.

Illness

If you are unwell, feverish, or experiencing symptoms of a contagious illness, please stay home and reschedule. This protects our small community and our instructors.

Hygiene and equipment care

Please arrive freshly showered and free of strong scents. Equipment is sanitized between sessions, and we ask that you wipe down surfaces after use.

Respectful conduct

We are committed to an inclusive, non-judgmental space. Behaviour that harasses, discriminates against, or otherwise makes another client, instructor, or staff member feel unsafe will not be tolerated, and may result in immediate removal from the studio without refund.

09 Photography and Media Consent

From time to time, the studio may take photographs or short video clips inside the studio for use in marketing materials, on our website, and on our social media channels. We are mindful about this: we ask before we photograph anyone individually, and we take reasonable care to avoid capturing identifiable clients in the background.

Your right to opt out

If you prefer not to be included in any studio photography or video, please let us know at any time, in writing or in person. We will honour your request from that point forward and will not use your image in future marketing materials.

Client photography

Please do not photograph or record other clients or instructors in the studio without their express consent.

Retention for future use

Where we use client images with consent, we may retain and use them in our marketing materials indefinitely. You may withdraw consent for future use at any time by contacting us. Please note that we may not be able to retract images already printed or distributed.

10 Intellectual Property

All content on our website, in our marketing materials, and in any written or filmed instructional content produced by the studio, including class programming, sequencing, imagery, logos, and text, is the property of Pilates West Island or its licensors. You may not reproduce, distribute, or use this content for commercial purposes without our written permission.

11 Privacy

Personal information you provide when booking, communicating with the studio, or participating in our services is handled in accordance with our Privacy Policy, available on our website. By using our services, you consent to the collection and use of your information as described in that policy.

12 Changes to These Terms

We may update these terms from time to time. The current version, along with the effective date, will always be available on our website. Continued use of our services after an update constitutes acceptance of the updated terms. Where changes are significant, we will make reasonable efforts to notify active clients directly.

13 Governing Law

These terms are governed by the laws of the Province of Quebec and the federal laws of Canada applicable therein. Any dispute arising in connection with these terms will be subject to the exclusive jurisdiction of the courts of the Province of Quebec, in the judicial district of Montreal.
